The Role 

Reporting to the Quality and Business Improvement Manager, the Document Controller is accountable for the efficient distribution, effective communication and maintenance of project related information, documentation and records to project stakeholders.   

The position also provides a service to the Quality and Improvement team, working closely with Quality and Business Improvement Consultants to support the development of a Quality Management System (QMS). 

Some of the key objectives include:

  • ensure systems and processes are followed to provide timely communication, collection and delivery of project documentation;
  • ensure documents, records and drawings are managed and controlled in a consistent manner, and are subject to formal management processes, revision control, registration and management;
  • coordinate storage, transmittal and communication of the documents required by the QMS;
  • coordinate the appropriate documentation for the project management team, site personnel and clients (both internal and external);
  • ensure documents are approved, distributed, protected from damage or destruction and easily traceable;
  • generate various reports related to document management conformance; and
  • provide administration support to Project Managers and the business.  

Requirements 

We are seeking a candidate with highly developed customer management skills, excellent communication (written and oral) and interpersonal skills.   The role requires high proficiency in Microsoft Office applications (Word, Excel and PowerPoint).  

The successful applicant should hold a Certificate IV in an appropriate business discipline and/or experience working in a project management environment.  Working knowledge of ISO 9001 principles of continuous improvement is required as well as 3 to 4 years relevant experience in a commercial position related to document control.  

Candidates will need to be prepared to undertake a pre-employment medical and driving history check (current driver’s licence is required).
